20,000 pieces of patient mail a week, and a meter lease nobody wanted

“Patient notices are time-sensitive and legally required. They can't be late. ADS handles both our mail and our fleet, so it's one call when anything needs attention.”

A North Jersey healthcare network sends a river of time-sensitive mail every week: appointment notices, test results, follow-up instructions, much of it governed by regulation. Late mail isn’t a service slip; it’s a compliance problem.

The problem

They were juggling a standalone postage-meter lease from one vendor and a copier fleet from another, which meant two relationships, two invoices, and two finger-pointing exercises whenever something broke. Across multiple clinics, that’s a lot of seams for things to fall through.

What we did

We consolidated both under ADS. On the mail side, an FP system that processes high volume accurately and eliminated the separate meter rental. On the print side, a standardized fleet across clinics with secure scan-to-EHR. One partner, one number, whether it’s a jammed MFP or a postage question.

The result

Patient mail goes out on time, every time. The meter lease is gone. And when anything needs attention anywhere in the network, it’s a single call to a local team that knows the whole account.

“Having one partner who handles the machine and the mail means I’m never stuck between two vendors blaming each other,” the director said. “That’s worth more than any single line-item savings.”
